Wi-Fi BMS Monitoring & Ticketing for Oilfield Service Companies

I'm Brian Phetteplace. Reliable Oilfield Services started running Wi-Fi BMS work across the Permian a couple of years ago, and it's now one of our biggest service lines. The install, swap, and connectivity work is great revenue — but only if the ticketing keeps up. Here's how to make that happen.

What a Wi-Fi BMS actually does

A Wi-Fi BMS (burner management system) is a controller that manages the burner on a heater treater or line heater and reports status, alarms, and run-time data over Wi-Fi instead of a hard-wired SCADA link. Two big wins:

Wi-Fi BMS isn't just a tech thing. It's changing how Permian operators run their assets.

The three BMS ticket types every service company needs

1. Install ticket

New BMS going on. The install ticket has to capture:

Close-out gating: the ticket can't close until the cloud-portal heartbeat shows green. This single rule prevents 90% of "we installed it but it's not reporting" callbacks.

2. Swap ticket

Old BMS coming off, new one going on. Same field set as install, plus:

3. Connectivity ticket

Unit's already installed; something's wrong with the data link. Connectivity tickets capture:

Same close-out gating: ticket can't close until heartbeat is green.

Why generic field service software falls down on BMS work

Most field service software assumes a ticket is "go to site, do thing, take payment." BMS work is different: the "did it work" check has to call an external cloud API to confirm a heartbeat. That's the part most tools can't do.

ReliableTrack tickets can be wired to check an external endpoint as part of close-out. Cloud-portal returns green, ticket can close. Cloud-portal returns red, ticket stays open and the tech has to keep troubleshooting. This is the same close-out gating pattern from the EPA-ready tickets playbook — applied to a different problem.

Unit history and recurring service

Every BMS install, swap, and connectivity ticket is attached to the unit serial. Tech in the field can pull up the full service history for any unit — install date, swap dates, firmware history, connectivity incidents. That's the difference between guessing and knowing.

The Permian context

ROS runs Wi-Fi BMS routes across the basin (Midland out to Andrews, Stanton, Big Spring, Crane). It's one of the service lines that benefits the most from real field service software — because the data-link verification step is non-negotiable. The full ROS write-up is in the case study. Local context on the basin is in the Permian Basin landing. And the broader oilfield page is at /oilfield.

FAQ

What is a Wi-Fi BMS unit on a well site?+

A Wi-Fi BMS (burner management system) is a controller that manages the burner on a heater treater or line heater and communicates status, alarms, and run-time data over Wi-Fi instead of a hard-wired SCADA link.

What should a BMS install ticket capture?+

Unit serial, GPS, network credentials confirmed (without storing passwords), signal strength reading, cloud-portal handshake confirmed, photo of the installed controller, photo of the antenna position, and tech + customer signatures.

How do you handle BMS connectivity tickets in the field?+

Connectivity tickets capture signal strength at install location, signal strength after move (if relocated), router status, link to cloud-portal heartbeat, and any firmware version notes. Close-out gating requires the portal heartbeat be re-established before the ticket can close.

Can ReliableTrack tie BMS tickets to a recurring schedule?+

Yes. Each BMS unit can have its own PM cadence and ad-hoc swap or troubleshooting tickets that share the same unit history. Tech sees full BMS service history per unit.

Does it work with multiple BMS vendors?+

Yes. Templates are tailored to your business in 48 hours, so we can build vendor-specific field sets for whichever BMS lines you run — different fields for different manufacturers if it helps your techs.

BMS work runs cleaner with the right tickets.
