Privacy Policy

1. Who we are

ReliableTrack ("we", "us", "our") is a software-as-a-service product operated by Reliable Oilfield Services LLC, a Texas limited liability company headquartered in the Permian Basin. We can be reached at brian@reliableoilfieldservices.net.

2. What we collect

Account information — when you sign up: name, email, phone (optional), business name, role, and the names/emails of techs you add to your team.

Billing information — payments are handled entirely by Stripe. We receive the billing email, the plan you subscribed to, and subscription status. We never see or store your full card number.

Field-service data — the work orders, photos, signatures, GPS coordinates, inventory counts, customer details, and notes that your team enters into the app. This is your data — you own it.

Diagnostic data — error reports (via Sentry), basic usage events, and service-worker cache stats to keep the app working. No third-party advertising or marketing trackers.

3. How we use information

• Deliver and improve the service you signed up for
• Send transactional emails (receipts, password resets, assignment notifications)
• Respond to support requests and feature requests
• Detect, prevent, and fix abuse, fraud, and technical issues
• Comply with legal obligations and accounting/tax requirements

4. Service providers we share with

To run ReliableTrack we share specific data with the following processors, each bound by their own privacy commitments:

• Stripe — payment processing
• Vercel — application hosting and edge delivery
• Supabase — database, file storage, and authentication
• Anthropic — AI features (work-order summaries, translations, photo captions)
• Resend — transactional email delivery
• Sentry — error monitoring

We do not sell, rent, or trade your personal information or your customers' data to third parties.

5. Your rights and controls

• Access — request a copy of everything we hold about your account
• Export — download all of your data in CSV / XLSX at any time, directly from your account
• Correct — edit account and team information directly in the app
• Delete — close your account and request deletion of all associated data
• Cancel — end your subscription at any time; no penalty, no contract

6. Data retention

We keep your data while your subscription is active and for 30 days after cancellation to allow recovery. After that, account data is deleted on request and otherwise scheduled for deletion. Backups containing your data may persist for up to 90 additional days before being overwritten in normal rotation.

7. Security

All traffic to ReliableTrack runs over HTTPS. Data is encrypted at rest in our database provider. Database access is restricted by row-level security policies that ensure customers can only see their own data. Authentication tokens are short-lived and stored locally on the device. No security system is perfect — if you discover a vulnerability, please contact us at brian@reliableoilfieldservices.net.

8. Cookies and local storage

We use the minimum cookies and local-storage entries necessary to keep you signed in and to make the app work offline. We do not use third-party advertising cookies or cross-site tracking.

9. Children's privacy

ReliableTrack is a business tool. It is not directed at children under 13 and we do not knowingly collect personal information from children.

10. International users

ReliableTrack is operated from the United States. If you use the service from outside the U.S., you consent to having your data processed in the United States. We are not currently certified under GDPR or similar regimes; contact us before using ReliableTrack to process EU-resident personal data.

11. Changes to this policy

We may update this policy. Material changes will be announced by email to account owners at least 14 days before they take effect. The "Last updated" date at the top will always reflect the current version.
